General Terms of Sale
INDIVUDUAL BOOKING
BOOKING
Hotel
In order to confirm your booking, could you please send us your credit card details (numbers and expiry date).
We will charge 6 days before your arrival the forst night of your booking.
CANCELLATION
Hotel from September and June
- 7 days before your arrival : no penalties.
- From 6 days to your arrival : 100 % of your total stay.
- In case of no-show or anticipate departure : 100 % of your total stay.
Hotel in July and August
- 14 days before your arrival : no penalties.
- From 13 days to your arrival : 100 % of your total stay.
- In case of no-show or anticipate departure : 100 % of your total stay.
Polilcy can be changed according to the offers.
GROUP BOOKING
1. CONFIRMATION OF THE STAY
A booking is confirmed only after the return of the contract established by the hotel. The contract must be signed with the stamp of the client and the mention « Read and approved », along with the payment of the first deposit.
Otherwise, the reservation will not be taken into consideration.
2. TERMS OF PAYMENT
All confirmation of a booking implies a down payment of 30% of the total amount (all taxes included). A second down payment of 20% can be asked 2 months before check in. The balance needs to be payed 2 weeks before check in. Any claim must be made within 1 week after the date of the invoice. In this case, the customer agrees to pay the non-contested part of the invoice while the eventual dispute is been resolved. The customer agrees to pay the additional services not included in the booking contract (on site consumptions, disboursments, extra etc...) incurred by himself or by his participants including when it had been contractually agreed that the complementary services would be incombing to the participants. If the participants fail to pay themselves, the amount will be payed on the credit card provided as a garanty at check in.
We kindly ask that you communicate the invoice adress if it is different from the one written on the booking aggreement.
3. TERMS AND CHANGES IN RATES
The rates (outside of taxes) applicable at the date the booking is confirmed by DOMAINE DU CHATEAU DE MONRECOUR according by the conditions of article 1 are non-renegociable At the end of the validity period for the option and/or the failure to sent a first deposit to confirm the booking, our rates may be readjustated without prior notification according to the economic conditions and regulatory disposition
4. CANCELLATION
Any cancellation notice must be sent in writing to DOMAINE DE MONRECOUR. Only the registered cancellation date determines the cancellation fee as follows : HOTEL
Group reservation of less than 10 rooms
✓ Over 46 days before check in : 30% of the amount (all tax included)
✓ From 45 to 22 days before check in : 50% of the amount (all tax included)
✓ From 21 days before check in : 100% of the amount (all tax included)
Group reservation of 11 to 25 rooms
✓ Over 61 days before check in : 30% of the amount (all tax included)
✓ From 60 to 46 days before check in : 50% of the amount (all tax included)
✓ From 45 days before check in : 100% of the amount (all tax included)
Group reservation of 26 to 40 rooms
✓ Over 81 days before check in : 30% of the amount (all tax included)
✓ From 80 to 61 days before check in : 50% of the amount (all tax included)
✓ From 60 days before check in : 100% of the amount (all tax included)
RESTAURANT
7 days before the date of the reservation : please confirm the definitive number of participant. This number will be the base for the invoice.
If the real number of participants is higher than the agreed upon number, the real number will be invoiced.
If the real number of participants is less, the agreed upon number will be invoiced.
A change of date is considered as a cancellation.
5. CHANGES TO THE SERVICE
Any changes to the service must be notified to DOMAINE DU CHATEAU DE MONRECOUR in writing. If the domain does not send an agreement in writing to the changes with 8 days of the demand the contract will be applied according to the terms agreed upon previously.
Any reduction of the number of participant is considered as a partial cancellation and the cancellation terms above will be applied if the number of participant is higher then the number agrred upon in the contract, the space will only be made available after the domain receives the added deposit calculated with the new number. If the domain does not have availabilities, the increase in participant may be refused.
An No-Show will be invoiced for 100% of the amount.
Any early departure will not be refunded.
6. RESPECT OF THE PLANNING AND HOW TO HANDLE OVERRUN
The planning of your event with precise times for activities is established according to your demands. Our rates take into ac count the information you have given us. The rates might be adjusted if the event is planned outside of our usual hours of operation.
We are commited to respect the planning and to adapt the hours of our team accordingly
We will ask for a complete timeline of the event 10 days before check in
Any changes impacting the hours of our team or the contract signed with outside suppliers will impact the final invoice.
The usual hours of operation are the following :.
- Breakfast hours : from 7 :30 am to 10 :30 am
- Lunch hours : 12 am to 1 :30 pm
- Dinner hours : 7 :00 pm to 9 :00 pm
7. ORGANIZATION
As soon as the contract expires, the customers will withdraw at their own cost any materials, goods, documentation or equipment installed on the domain at their request.
8. ROOMING LIST
The DOIMAINE DU CHATEAU DE MONRECOUR must receive the rooming list at least 7 days before check in.
9. CHECK IN
The rooms are available for check in starting at 3 pm.
The check out must be done before 11 am on the last day. Any room not freed up before the check out time will be added to the invoice for an addition night.
10. PHOTOGRAPHY AND VIDEO
It is asked that the customer informs the hotel in advance of the eventual presence of a photographer, a cameraman or a drone.
11. INSURANCE & RESPONSABILITY
The customer is responsable for any damages or trouble caused by the participant of their events. They must bear the direct and entire consequence of any material of bodily arm done to a third part or to any person present during the service.
The customer must take their own insurance relevant to the type of event they are organising.
The customer agrees to withdraw at their own cost any equipment used and also agrees to restore the premises to its original state at their own cost. Any equipment damaged or missing will be invoiced to the customers. The amount will be determined according to the repairs needed.
The domain recommends that the customers place their valuables in the hotel safe or in the safe provided in the rooms and to have said valuables insured.
12. FOOD & DRINKS
The customer is not authorised to bring food & drinks bought outside without the authorisation from the management of the domain. The domain keeps the right to ask for a corkage fee for the drinks served in establishment.
13. VAT
The VAT will be the one applicable on the day of the event.
14. FORCE MAJEURE
The Management of the hotel reverse the right to cancel the contract in case of war, a strike, fire, water damages, natural catastrophy etc.. Or any other force majeure event. If the hotel can not host the stay of the guest for any reason, we will find accommodation for the guest in another hotel of simiral standard.
15. REMARKS
Anything added by hand to this document will not be considered valid. Any changes must be approved by the management of the DOMAINE DU CHATEAU DE MONRECOUR. Date and Signature
